Server Settings

Products

  • SharePoint: Select this product to deliver scanned documents to SharePoint Online with access to Team Site, library, or folder.

  • OneDrive: Select this product to deliver scanned documents to the OneDrive of the logged in user.

Authentication Method

Select the account type to be used for logging in to the destination to deliver scanned documents.

  • Proxy User: For SharePoint, the system delivers scanned documents to Microsoft 365 using the user account displayed in [Email Address] with the format of "user@domain". For OneDrive, the system accesses the login user's OneDrive on behalf of the login user, using the user account displayed in [Email Address] with the format of "user@domain", and delivers scanned documents. The User Principal Name of the login user is derived from [Impersonated User] settings.

  • Login User: The system delivers scanned documents to Microsoft 365 using the login user's Microsoft 365 user account.

Email Address

This item is displayed only when [Proxy User] is selected for [Authentication Method].

The e-mail address of the user account is displayed when authorization with the authorization code specified in [Authorization Code] is successful.

Authorization URL

This item is displayed only when [Proxy User] is selected for [Authentication Method].

The field is populated automatically when [Microsoft 365 - Proxy] is registered in [Cloud Authentication Settings].

Copy the URL and paste it in a Web browser as is without any change. Then, log in using the valid Microsoft 365 user name, password, and additional security verification if applicable, and get the authorization code issued for the account.

The authorization code is issued as part of the returned URL. Copy the whole URL string and paste it to [Authorization Code].

Authorization Code

This item is displayed only when [Proxy User] is selected for [Authentication Method].

Authorization code is used to acquire an access token for a Microsoft account with the ID entered during the authorization process.

Authorize

Click [Authorize] to perform authorization and get the refresh token from Microsoft 365 servers by using the specified authorization code.

If authorization fails, [Authorization Code] is deleted. Click [Clear] to remove previously authorized user credentials from the repository, and use a valid authorization code to reauthorize.

Impersonated User

Specify the setting used for OneDrive Proxy User mode for delivery and folder browsing. This item is displayed only when [OneDrive] is selected for [Products] and [Proxy User] is selected for [Authentication Method].

User Name

Specify the RICOH Streamline NX user attribute to be used as the user name for Microsoft 365 User Principle Name construction.

Select from the following, or specify manually using alphanumerical characters (0 to 9, a to z, A to Z), periods, and underscores. Maximum length is 1000 characters.

  • User: Login User Name

  • User: User Email Address

  • User: Custom Property 1-10

  • Manual entry is available only for connection test. To save the workflow and use it on MFPs, an attribute must be selected.
  • Connection test is not available for OIDC login users.

Domain

Select the RICOH Streamline NX user attribute to be used as a domain for Microsoft 365 User Principle Name construction.

  • User: Custom Property 1-10

If the following conditions are met, there will be an unexpected error when a workflow that includes Send to Microsoft 365 SharePoint on your device is selected.

  • [Products] is set to [OneDrive]

  • [Authentication Method] is set to [Proxy User]

  • Settings that can acquire the user name in a format that contains "@" in [User Name] of [Impersonated User] (for example: "userPrinciaplName" in the LDAP profile or "preferred username" in the OIDC profile)

  • [Domain] for [Impersonated User] is not <Blank>.

  • If it is required to login with a user name that includes @ for [Impersonated User], set [Domain] to <Blank>.

Service Root Endpoint

Specify the service root endpoint published by Microsoft. Change the value only when using another national Entra ID service.

The default is the URL for Global Entra ID service: https://login.microsoftonline.com

OAuth Token Option

Specify the OAuth token option type for the Send to Microsoft 365 SharePoint connector.

  • From OpenID Connect Login: Uses the token obtained when logging in to devices by using the profile specified in [System] ®   [Authentication Profile] ®   [Open ID Connect].

  • From Cloud Authentication: Uses the token registered using the User Console after specifying [Workflow]    [Cloud Authentication].

HTTP Proxy Server IP Address

Enter the IP address or FQDN of the proxy server.

Click [Test] to check the connection to the proxy server that has been entered. Does not perform authentication tests using the entered user name and password.

Port Number

Enter the port number to be used. The default port number is 8080.

Account

Enter the login account to be used for logging in to the proxy server.

The number of characters and character types that can be entered vary depending on the specifications of the delivery destination server.

Password

Enter the account password.

The number of characters and character types that can be entered vary depending on the specifications of the delivery destination server.

Add/Delete StartPoint Path

Add, Edit, Delete

Use these to add a new root folder, edit an existing root folder, and delete a root folder.

  • Add: Adds a new root folder. The StartPoint Path screen appears.

  • Edit: Changes the setting of the selected root folder. The StartPoint Path screen appears.

  • Delete: Deletes all selected root folders.

Root Folder List

Displays the list of root folders that are registered.

Select the check box of the root folder to be edited or deleted.

To select all root folders, select the check box in the first line or row.

StartPoint Path – General Settings

Display Name

Specify the display name of the root folder.

Subsite Path

If it is left blank for SharePoint, users navigate from the user SharePoint root. To navigate from the subsite of the root site, enter the subsite name only.

To navigate from sites other than the root site, enter a path such as sites/TeamSite1.

Library and Folder Path (for SharePoint) or Folder Path (for OneDrive)

This setting is available when [Enable SPS Site Selection] is not selected. Example: lib/f1/f2

If it is left blank for SharePoint, the library and/or folder under the user default site is displayed on the initial screen.

For OneDrive, enter the folder path to start navigation. Only the user default library can be navigated.

This setting is required when [Enable Subfolder Browsing] is not selected.

Enable SPS Site Selection

Select this check box to allow the MFP user to select a site and library. If selected, the library and folder path cannot be entered. Also, [Pre-selected Destination] cannot be selected.

Pre-selected Destination

Select this check box, and specify the library and folder to distribute documents to the pre-selected destination. When configuring workflows including this connector for one-touch scan, you must enable the pre-selected destination setting.

When the [Pre-selected Destination] check box is selected, you must specify a library or folder in [Library and Folder Path].

The system uses the selected content type if more than one field is registered, and it uses the default content type and value if no field is registered.

Test

Click [Test] to perform a connection test to the specified startpoint with user credentials defined in [Server Settings]. It is available only when [Proxy User] is selected for [Authentication Method].

Connection test is not available for OIDC login users.

Access to Subfolder

Select the [Enable Subfolder Browsing] check box to allow the user to browse for a library or folder, and select it as the destination. When this check box is selected, be sure to specify a library or folder in the start point.

For subfolders, only "Document" type libraries are supported.

Create a Subfolder

Select the [Enable Subfolder Delivery] check box to create a subfolder under the destination folder automatically.

When the check box is cleared, the scanned documents are directly distributed under the specified destination folder.

When you select the [Enable Subfolder Delivery] check box, specify the following:

Folder Prefix (Name)

Specify the subfolder name. A folder is created under the subfolder when you include a separator in the name. For example, enter "abc\xyz" to create the folder "abc" under the root folder, and folder "xyz" under that folder. The scanned documents are saved in "xyz".

Use one of the following methods to specify the name of the subfolder to be created:

  • Select from Existing Metadata: From the basic metadata elements of RICOH Streamline NX, specify a metadata element to be used as the folder name.

  • Manual Entry: Enter the folder name manually.

For details about the procedure to specify the folder name, refer to Automatic File or Folder Naming.

Add Suffix to Folder Name

A suffix is added to the subfolder name when another subfolder with the same name already exists. A suffix is a number between 1 and 99 that increases by 1. When the suffix exceeds 99, an error occurs and delivery fails.

If a folder with the same name already exists while [Add Suffix to Folder Name] is not selected, the scanned document is saved in the existing folder.

File Naming Rules

Specify the name of the file to be saved in the destination folder. Use either of the following methods to specify the file name:

  • Select from Existing Metadata: From the basic metadata elements of RICOH Streamline NX, specify a metadata element to be used as the file name.

  • Manual Entry: Enter the file name manually.

For details about the procedure to specify the file name, refer to Automatic File or Folder Naming.

The following characters cannot be used in a file name. When used, the character is replaced with " ".

  • Prohibited characters: " * : < > ? / \ I
  • If the file name starts or ends with ".", it is replaced with " ".
  • If there is another file with the same name, a suffix is added to the file name. The suffix is a number from 1 to 99, and it is incremental to avoid duplicating file names. When the suffix exceeds 99, an error occurs and delivery fails.

StartPoint Path – Field Settings

Add, Edit, Delete

Use these settings to add a new metadata assignment, edit an existing metadata assignment, or delete a metadata assignment.

  • Add: Adds a new metadata assignment. The [Add Field Settings] screen appears. You can add only one content type to the table when [Pre-selected Destination] is selected in [URL] on the [General Settings] tab.

  • Edit: Changes the setting of the selected metadata assignment. The [Add Field Settings] screen appears.

  • Delete: Deletes all assigned metadata settings.

Field Settings List Table

Displays the list of field settings that are registered.

Allow User Modification

Select this check box to allow users to modify the document property presets on the operation screen of the device.

Add Field Settings

Content Type

Select the content type. If the library is not configured, an error message is displayed.

MOSS Field

This displays the field items list based on the selected [Content Type].

You can specify the following Field Types:

  • Test/Notes

  • Integer

  • Url

  • Currency

  • Boolean

  • Choice/Multi Choice/Outcome Choice

  • Date/Time

Setting Value

Configure the metadata element of SLNX to be added or assigned to the library field.

  • Select from Existing Metadata: From the basic metadata elements of RICOH Streamline NX, select a metadata element to be added or assigned to the library field.

  • Manual Entry: Enter a metadata element manually or select from the drop-down list.
